Administrative Assistant, IA Department

Reports to: Director,
Institutional Advancement
Grade: 3 (bargaining unit)
Summary:
The
successful candidate will provide administrative support to the
Institutional Advancement Department, primarily the Director, Institutional
Advancement, and the other Senior Associates for Major donors and
Foundations, Planned Giving, Donor Marketing and the Volunteer Network.
Essential
duties and responsibilities:

Initiate and maintain consistent written and verbal communication with
member constituents and donors of UUSC.

Assist with the planning and co-ordination of small to mid-size events
with major donors, ensuring execution and follow up. This includes work
with vendors, creating event records and RSVP tracking.

Provide support for the volunteer network, and administration related to
Planned Giving function.

Provide support for the IA department activities including coordinating
department meetings.

Organize and prepare materials for departmental mailings
-
Maintain departmental electronic and paper filing system.
-
Maintain email and paper mail notes in Generations (organizational data
base); Weekly generation of thank you letters to donors.

Participate in interdepartmental activities and projects on a periodic
basis.

Budget tracking and
following through with departmental check requests.

Assist in travel
planning and trip logistics.

Perform other duties as
necessary or as directed by a supervisor/manager.
Qualifications:
-
Minimum of 2 plus years administrative experience in customer driven
environment.

Proven track record of high-level customer service and people skills.
-
Excellent attention to detail with ability to prioritize but remain
flexible.
-
Solid organizational, multi-tasking, project tracking and time
management skills.
-
Excellent written and verbal communication skills.
-
An ability to work independently as well as in a team.
- A strong
interest in the field of development desirable.
- Strong word-processing, database,
spreadsheet and Internet experience. Microsoft Office desirable.
- Diplomacy, tact and respect for
confidentiality essential.
Education:

College degree
preferred, or equivalent
